Itinerary template for Excel, Word, Google Docs and Canva

Pick the format your team already uses, download a blank itinerary template, and fill in the days. Below you will find which format suits planning and which suits the client, plus a plain-text version you can paste anywhere. If you would rather not fill a template at all, try the free itinerary maker.

Which itinerary template format should you use?

Itinerary template for Excel and Google Sheets

A spreadsheet keeps every day in one row, which makes it easy to sort, filter by city and share with a driver or hotel. The template has columns for the day, date, city, morning, afternoon, evening, hotel, meals, transfer and notes. It suits internal planning and operations. It is a poor client document, because a wide grid reads badly on a phone.

Best for: planning, ops handovers, and DMC route sheets.

Itinerary template for Word and Google Docs

A document template reads like a proposal: a title, a day-wise table, inclusions and exclusions, and contact details. Download the .doc file and open it in Word or upload it to Google Drive and open it with Google Docs. The table is editable, and you can add a logo and change fonts.

Best for: client-facing documents you email or send on WhatsApp as a PDF.

Itinerary template for Canva

Canva gives the most design freedom and the most rework. Every edit means moving boxes, and a change after sending means exporting and resending the file. If you use Canva, keep one master layout, duplicate it per client, and copy the plain-text template below into the text boxes rather than typing from scratch.

Best for: a few high-touch luxury trips where design is part of the sale.

Itinerary template as a PDF

A PDF is what the client finally receives, whichever tool built it. Build the day-by-day in the free itinerary maker and use the print dialog to save it, or export from Word or Google Docs. Keep the file name clear, for example "Goa-5-days-Sharma-family.pdf".

Best for: the final version you send to the client.

Plain-text itinerary template

Paste this into Canva, Notion, Google Docs, WhatsApp or an email and replace the bracketed fields.

Start from a finished route instead

A blank template still means writing every day. The free trip itinerary templates are complete day-by-day routes for popular destinations, from Goa and Kerala to Bali. Import one into Itiner and adapt it to the client. For pricing the trip, use the travel quotation format.

When templates stop scaling

File templates are fine for a handful of trips a month. Beyond that, each client means a copied file, hand-typed days and a resend after every edit. Travel itinerary software drafts the days from a brief, keeps your routes as templates, and shares one live link.

Itinerary template: questions

Where can I get a free itinerary template?

Download the Excel or Word template on this page, copy the plain-text version into any tool, or start from the ready-made day-by-day routes in the itinerary templates library, which cover popular destinations and can be adapted for your client.

What should an itinerary template include?

The client name and travel dates, one section per day with the city, morning, afternoon and evening plan, the hotel and meal plan, transfers, a list of inclusions and exclusions, and emergency contact numbers for the agency and the local operator.

Is an Excel or a Word itinerary template better?

Use Excel or Google Sheets for planning and for handing details to suppliers, because rows sort and filter well. Use Word or Google Docs for what the client reads, because it prints and scrolls well on a phone. Many agents plan in a sheet and present in a document.

Can I use these templates for tour operator or DMC route sheets?

Yes. The spreadsheet works as a route sheet, with columns for hotel, meals and transfers per day. For repeat routes, keep one master file per route and duplicate it per booking, or save the route as a reusable template in itinerary software.

How do I convert an itinerary template to PDF?

In Word or Google Docs choose File, then Save as or Download, then PDF. In Excel or Sheets use Print and choose Save as PDF, and set the page to landscape. The free itinerary maker on this site also saves straight to PDF from your browser.

What is the alternative to filling a template by hand?

Itinerary software drafts the days from a short brief, keeps your routes as reusable templates, and shares a live client link so an edit never needs a new file. Itiner has a free plan with no credit card.
