Guide for travel agents

ChatGPT and Claude for travel agents: a practical guide

Most agents already ask ChatGPT or Claude for trip ideas. Used well, an AI chat app saves hours on first drafts and enquiry replies. Used carelessly, it invents hotels and quotes last year’s prices. Here is how to get the useful part, check the risky part, and get from a chat to something you can send a client.

What AI chat is good at for an agency

  • A first day-by-day draft from a short brief, so you edit instead of starting blank.
  • Ideas for a client who is unsure: three ways to spend six days in Bali, or a slower version of a busy route.
  • Short, warm descriptions for each stop, written in your agency’s tone.
  • Replies to WhatsApp and email enquiries, including the questions to ask next (dates, travellers, budget, pace).
  • Translating a trip summary for a client who prefers Hindi, Tamil, or another language.

Where it goes wrong

A chat model writes what sounds right, not what it has checked. It can name a hotel that closed, a ferry that does not run in monsoon, or an entry fee from two years ago. It does not know live availability or your negotiated supplier rates, and it cannot book anything. Treat every name, timing and price in a chat answer as a draft that needs your review.

  • Verify every hotel, restaurant and activity name before it reaches a client.
  • Never take prices or opening hours from a chat answer.
  • Check travel times between stops; models often pack too much into one day.
  • Do not paste passport numbers, phone numbers or payment details into a chat app.

Step 1: write a complete brief

The quality of the draft depends on the brief. Include the destination, dates or trip length, who is travelling (ages, couple, family, group), budget level, pace, interests, fixed bookings, and anything to avoid. A vague prompt gets a generic tourist trail.

Plan a Bali tripPlan 6 days in Bali, 10 to 15 November, for a honeymoon couple in their 30s. Premium budget, relaxed pace, two nights each in Ubud, Nusa Penida and Seminyak. They love food and spas, and want to avoid long drives.

Step 2: ask for a structured draft

Ask for one section per day, with morning, afternoon and evening, the area each day is based in, and a one-line reason for each stop. Structure makes the draft easier to check and to move into your own format later.

Step 3: refine in conversation

This is where chat shines. Ask for changes in plain words: make day 3 slower, swap the cooking class for a sunset dinner, move the island day earlier because of the weather. Each change takes seconds instead of a rewrite.

Step 4: check every fact

Go through the draft stop by stop. Confirm names and locations on a map, check drive times, and replace anything you would not book yourself. Add your own supplier choices and real prices. This review is the part of the job a client is paying you for.

Step 5: deliver it as a proper itinerary

A chat reply is not a client deliverable. Copying it into Word, Google Docs or Canva means reformatting every day, and every later change means editing and re-sending a file. A structured itinerary tool keeps the trip as days and stops, adds your branding, and gives the client one link that stays current.

Skip the copy and paste: connect Itiner to your AI app

Itiner connects to ChatGPT, Claude, Claude Code, Cursor and VS Code through MCP, the open standard AI apps use to work with other software. After a two-minute setup, the same request you would type into a chat creates a real itinerary in your Itiner account, planned day by day with real places. You keep refining it in the chat, review it in Itiner, and ask the AI app to publish it to get the client portal link.

Questions answered

Common questions

Can ChatGPT plan a travel itinerary for my clients?

ChatGPT can write a good first draft of an itinerary from a detailed brief, including a day-by-day structure, stop ideas and short descriptions. It cannot check live availability, current prices or opening hours, and it sometimes names places that have closed or do not exist. Use it to remove the blank-page step, then verify every name, timing and price yourself before a client sees the plan. Agencies that connect Itiner to ChatGPT get the draft saved as an editable itinerary instead of chat text, which makes that review faster and gives them a branded client portal at the end.

Is ChatGPT or Claude better for travel agents?

Both write useful itinerary drafts and handle follow-up edits well. Claude tends to follow long, detailed briefs closely and write in a calmer tone; ChatGPT is the most widely used and has built-in web search and voice. The better choice is usually the one your team already pays for and likes using. Itiner works with both through the same connector link, so the choice of chat app does not change where trips are saved or how clients receive them.

Is it safe to put client details into ChatGPT?

Share only what the AI needs to plan the trip: destination, dates, number and type of travellers, budget level and interests. Do not paste passport numbers, phone numbers, email addresses, payment details or anything a client told you in confidence. What you type is handled by the AI company under its own privacy policy and settings. Through the Itiner connector, the AI app receives itinerary details and the client name on the trip, and never client contact details, prices, or uploaded documents.

How do I connect Itiner to ChatGPT or Claude?

Open itiner.in/ai-assistants or Settings → AI assistants in Itiner and copy your Itiner link. In ChatGPT or Claude, add a custom connector and paste the link; Cursor and VS Code install with one click. Sign in to your Itiner account and click Allow. Then ask for a trip in plain words, for example a 6-day Bali honeymoon for a named couple, and the AI app creates it in Itiner. The whole setup takes about two minutes and needs no technical skills.

Will AI replace travel agents?

AI makes the drafting part of an agent’s job faster, but clients pay agents for judgement, supplier relationships, checked details and someone to call when plans change. A chat app does not hold negotiated rates, cannot vouch for a hotel it has never seen, and is not accountable when a transfer is missed. Agencies that use AI for first drafts and keep a human review step tend to quote faster without losing the trust that brings repeat clients.
