Agency workflow guide
How to create a branded client itinerary
The steps to go from a client trip request to a polished, agency-branded itinerary — logo, colors, and a consistent structure — delivered as a live portal and a PDF.
Why branding is part of the itinerary, not an afterthought
A client itinerary sent on your agency's own logo, colors, and contact details reads as a deliverable from a professional agency. The same content sent as a generic document or an unbranded link reads as a draft. The workflow below is the actual path from a client's trip request to a branded, sendable itinerary in Itiner — nothing here is aspirational or "coming soon."
The workflow
1. Capture the trip brief
Start with the details that actually shape a trip: destination, dates or duration, traveler count, budget, pace, and any fixed bookings or accessibility needs. The more complete the brief, the less rework later. A trip record in Itiner holds these fields directly, so the brief becomes the input the rest of the workflow builds on rather than a note that gets retyped.
2. Generate the AI first draft
Instead of starting from a blank page, Itiner drafts a day-by-day structure — accommodation, activities, transport, meals — from the trip brief. This is a starting point, not a finished itinerary: it exists to remove blank-page work, not to replace the agent's judgment on routing, suppliers, or pricing.
3. Review and edit the details
Go through the draft day by day and correct anything the AI got wrong or generic: timings, supplier names, activity order, prices, and anything specific to this client. The editor lets you restructure days, add or remove blocks, and adjust details directly rather than accepting a fixed output. This is the step where the agency takes ownership of the plan.
4. Apply your branding — logo and colors
In agency settings, upload your logo and set your brand color. Both carry through automatically to every client-facing surface: the live portal and the exported PDF pick up your logo and color palette without any per-trip setup. You can also set an agent name, contact number, WhatsApp number, and a portal tagline so the client sees your agency's identity, not a generic template.
5. Publish the live client portal
Publishing turns the reviewed itinerary into a shareable, read-only link the client can open on any device without creating an account. Pick a destination-themed background — beach, mountain, city, desert, countryside, or a minimal neutral option — so the portal feels tailored to that trip. Because the portal reads from the same trip record you edited, updating a hotel or activity later updates what the client sees immediately, with no separate document to re-send.
6. Export a branded PDF if needed
Some clients still want a downloadable or printable document — for offline access, visas, or their own records. PDF export carries the same logo, colors, and structure as the live portal, generated from the same trip data, so the two outputs never drift apart. Export it whenever the client needs a file instead of, or alongside, the link.
Questions agencies ask
What is the minimum needed to send a branded itinerary?
A logo and a brand color. Both are set once in agency settings and then apply automatically to every trip's client portal and PDF — there is no per-trip branding step required.
Do the live portal and the PDF stay consistent with each other?
Yes. Both are generated from the same trip record, so a logo, color, or itinerary change you make once is reflected in the live portal and in any PDF exported afterward.
Which plan removes "Powered by Itiner" completely?
Free and Flex keep a "Curated by [Agency] · Powered by Itiner" footer on the client portal and PDF. Growth and above are 100% white-label: the "Powered by Itiner" line disappears entirely from both surfaces.
Does the client need an account to view the itinerary?
No. The live client portal is a shareable, read-only link. Clients open it on any device without creating an account or logging in.
Does branding still apply if I skip AI drafting and build the itinerary manually?
Yes. Branding is set once at the agency level and applies to every trip's portal and PDF regardless of whether the itinerary was AI-drafted or built manually in the editor.
Can I customize the itinerary structure per client, or is it a fixed template?
The structure is editable. After the AI draft or a manual build, you can add, remove, or reorder days and blocks so the itinerary matches what was actually agreed with that client.
