Guide for agents and clients
How much do travel agents charge to plan a trip?
There is no fixed price. Agents charge in three ways, often combined: a planning or service fee, a commission paid by suppliers, and a markup built into the package price. Here is what each means, and how to explain your fee to a client.
The three ways travel agents get paid
| Model | How it works | Client sees it as |
|---|---|---|
| Planning or service fee | A flat fee, or a fee per traveller or per day, charged for designing and booking the trip. | A separate line on the quote |
| Supplier commission | The hotel, tour or DMC pays the agent a percentage when the booking is made. | Nothing, it is inside the price |
| Package markup | The agent adds a margin to the cost of the package components and sells the total. | One package price, with taxes shown separately |
Commission rates and markups vary by supplier, product and market, so this guide does not give benchmark percentages. Agents set their own numbers.
When agents charge a planning fee
Fees are common on complex or bespoke trips: multi-country journeys, honeymoons, luxury itineraries and trips that need a lot of research and revisions. A fee protects the agent’s time when the client might plan with you and then book elsewhere.
Some agents credit the fee against the booking if the client goes ahead, which helps clients accept it. Others keep it separate. Whichever you choose, state it in the first conversation and put it on the quote.
A worked example of a package markup
This example is illustrative, not a benchmark. A couple asks for a five-day Goa trip. The agent’s costs from suppliers are:
| Item | Cost |
|---|---|
| Hotel, 4 nights at ₹4,000 a night | ₹16,000 |
| Private car for 5 days at ₹2,500 a day | ₹12,500 |
| River cruise and sightseeing tickets | ₹3,000 |
| Total supplier cost | ₹31,500 |
| Markup of 15% on cost | ₹4,725 |
| Package price before tax | ₹36,225 |
Taxes such as GST, and TCS on overseas packages, go on their own lines above the total. Your CA confirms how they apply.
Markup and margin are not the same
In the example, a 15% markup on cost gives ₹4,725 on ₹36,225, which is 13% of the selling price. If you want a 15% margin on the selling price instead, divide the cost by 0.85: ₹31,500 ÷ 0.85 = about ₹37,059. Know which one you are quoting, because the difference grows with the size of the trip.
How to explain your fee to a client
- Say what the fee covers: research, design, booking, changes and support during the trip.
- Show it as its own line so clients can compare quotes fairly.
- Offer options at different prices, so the client feels in control of the budget.
- Explain what you do that an online booking site does not: local knowledge, supplier relationships and help when something goes wrong.
Put your fee and options on a professional quote
In Itiner, a trip can carry up to three priced options, tax lines and inclusions, and the client accepts one in the portal.
Questions answered
How much do travel agents charge to plan a trip?
It depends on the agent and the trip. Many agents earn through supplier commission and package markup and charge nothing separate for simple trips. Others charge a planning fee for complex trips, and some credit the fee against the booking. Ask any agent how they are paid before you start.
Do I pay more by using a travel agent?
Not necessarily. Agents often earn commission from suppliers, so the price can match booking direct, and agents may access rates or packages that clients cannot. A planning fee or markup adds cost, and clients get time saved, local knowledge and support.
Should a new agent charge a planning fee?
Consider it for bespoke or high-effort trips, where you do a lot of work before any booking. For simple packages, competing on service and speed usually works better. Whatever you decide, be consistent and state the fee before you start work.
How do I show a fee and GST on a quotation?
Show the fee and the package price as separate lines, then the tax lines, then a grand total. How GST applies to a package or to a service fee depends on how you are registered, so confirm the treatment with your accountant.
What is a fair markup on a tour package?
There is no universal figure. It depends on the destination, the competition, the trip’s complexity and your cost structure. Work backwards from what you need to earn per trip and check it against comparable quotes in your niche.
